Job Description:
The Program Assistant implements, evaluates, and manages the R2AC’s Artist grant and training programs. This position administers all aspects of the artist grant programs, supplies necessary technical support to constituents, and assesses programming in relationship to current and future needs in the region. The Program Assistant will promote the Region 2 Arts Council grant programs and outcomes through media, meetings and events. In addition, the Program Assistant will work with the Northern Arts News newsletter editor and oversee publication.

Program Assistant, Region 2 Arts Council
Minimum Qualifications:
A college degree and experience managing programs in an arts or non-profit organization. Experience in the arts is highly desirable.
Position Purpose:

This position administers all aspects of the artist grant programs, supplies necessary technical support to constituents, and assesses programming in relationship to current and future needs in the region. The Program Assistant will promote the Region 2 Arts Council grant programs and outcomes through media, meetings and events. In addition, the Program Assistant will work with the Northern Arts News newsletter editor and oversee publication.

• Self-motivated, works well independently, and able to prioritize workload with little supervision.

• Sensitive to political, social, geographical, and economic issues of North Central Minnesota.
• Represent R2AC in the Region.
• Experience with word processing (Microsoft Word) and Excel spreadsheets.
• Have the ability and willingness to travel within Region 2 and the state, occasionally overnight. (a valid driver’s license and access to a vehicle is mandatory.)
Responsibilities:
Artist Grant Programs: Individual Art Grants, Artist Mentorship Grants, Artist School Residency Grants
• Administer the artist grant programs and grant reviews.
• With the assistance of R2AC office staff, administer the grants process, including determining the eligibility of grants, preparing grants for panel review, notifying grant applications of the status of their grants, keeping accurate records of all grant applications received and awarded for the Council and monitoring final reports.
• Oversee all office management, i.e., filing, correspondence, etc. associated with administering the artist grant programs.
• Provide information to the Executive Director and Board regarding grants or grantees as necessary.
• Work in association with the Executive Director to review policies, program services, accounting, and other management activities related to the artist grant programs.
• Foster working relationships and gain excellent rapport with regional artists in multiple disciplines and with artists from communities of color.
• Have an overall attitude of providing service and growth opportunities to artists and arts organizations in the region; encouraging artists to apply for grants.
• Assist with conducting information gathering for needs assessment process.
• Assist in the ongoing arts planning process pertaining to the artist grant programs.
• Provide technical assistance to applicants through grant writing workshops and one-on-one assistance.
• Recruit and select panel members with the assistance of the Executive Director for the grant programs; train and communicate with selected panel members; schedule and facilitate the panel review meetings.
• The panel scheduling will include overseeing all necessary correspondence, confirmation, accommodations, etc., necessary to carrying out the panel review meetings. Included will be the development of meeting agendas and all relevant materials necessary for panel review. With office assistance this material will be mailed to the panel at least ten (10) days before the scheduled review meeting.
Artist Training Program & Arts Conferences:
• Plan, organize, recruit speakers or organizations and promote the artist training programs and conferences.
• Establish a database for all training programs and conferences.
• Attend and oversee implementation of the workshops and conferences in association with the Executive Director.
• Establish an artist database and/or registry with pertinent information and work samples.
Media Promotion and Events Planning:
• Work in association with the Executive Director to promote the Legacy Funding and outcomes to the counties in Region 2 and the State.
• Meet with city and county government, non-profits, schools, artists, etc. to promote awareness of the new funding and available grants.
• Assist Executive Director with kick-off event, Big Check events and other Legacy media events to promote the funding and outcomes.
Northern Arts News Newsletter:
• Work with editor and Executive Director to gather content for each issue.
• Recruit writer for Guest Commentary and Showcase Artist.
• Give assistance to Editor as needed.
• Proof editor’s draft before submission to printer.
• Work with Executive Director to evaluate editor’s performance according to signed contract.
Working Conditions:
• Work will involve evening events and occasional weekend meetings.
• Regional and statewide travel is required with night travel on occasion.
